Troubleshoot MindSalt Mobile

Use these checks when a mobile feature is missing or sign-in, loading, time, expense, receipt, or Smart Scan behavior does not work as expected.

A mobile feature or action is not visible #

MindSalt Mobile displays sections and actions only when your account, permission, record status, and date rules allow them.

A bottom tab is missing #

  • Time requires time tracking and time-entry permission.
  • Expense requires expense tracking and expense-entry permission.
  • Approvals requires approval workflows plus time-approval or expense-approval permission.
  • The Approvals section may contain only the approval type you have permission to review.

If a section should be available for your job, contact your MindSalt administrator to review account features and permissions.

An add or edit action is missing #

Check the record's status and any lock message:

  • Submitted and approved time entries are read-only.
  • Submitted and approved expense reports are read-only.
  • Rejected records are normally editable, but a date lock can still prevent changes.
  • A locked day hides the time-entry + button.
  • A read-only expense report hides the add-item + button and edit actions.

A submit action is missing #

  • Submit Timesheet appears when timesheet approvals are enabled and the period contains open or rejected time that can be submitted.
  • Submit Expense Report appears when expense approvals are enabled and the report is open or rejected and can still be submitted.
  • Account rules can prevent submission for locked periods or other conditions.

Smart Scan is missing #

Smart Scan must be enabled for the account. It also checks availability before opening the camera. If you already have 10 unassigned Smart Scans, assign or delete some before scanning another receipt.

A selection is missing #

The projects, tasks, time-off options, expense types, payment methods, and currencies you see depend on your organization's settings and your access. Some lists also depend on an earlier selection. For example:

  • choose a time project before choosing a task,
  • choose a client before choosing its expense project,
  • and choose an expense type before its amount style and requirements are known.

Sign-in, connection, and display issues #

Use these steps for sign-in errors, loading problems, update notices, or appearance concerns.

Sign-in fails #

  • Re-enter the Username or email and Password.
  • If your organization uses SSO, tap Sign in with SSO and use your Work email.
  • Use Forgot password? when you need to reset a MindSalt password.
  • If MindSalt says mobile access is not available, contact your MindSalt administrator.

When a session expires, MindSalt returns to sign-in. Sign in again to continue.

A screen cannot load #

MindSalt Mobile needs a connection to load and save current business data.

  1. Confirm the device is online.
  2. Pull down to refresh, or tap Try again.
  3. If Too many requests appears, wait a moment and try again.
  4. If the problem continues, use Account and Email support.

If saving or approving does not finish, check the connection and refresh before trying again.

An update is available #

When Update available. Tap here to refresh. appears, save current work and tap the notice. The app reloads with the new version.

The app is in the wrong appearance #

  1. Tap Account.
  2. Tap Appearance.
  3. Choose Same as device, Light, or Dark.

With Same as device, change the device appearance if you want MindSalt to switch.

The app asks you to rotate the device #

MindSalt Mobile is designed primarily for portrait use. In a mobile browser with limited landscape height, rotate the device to portrait to continue.

Time-entry and timesheet issues #

Use these checks when a time entry cannot be added or changed, a favorite does not work, or a timesheet cannot be submitted.

A day or entry cannot be changed #

Look for Submitted, Approved, Rejected, or Locked status:

  • Submitted and approved entries are read-only.
  • A locked date cannot accept new or changed time.
  • A rejected entry is normally editable unless the date is also locked.

MindSalt displays a status or lock message when it can identify the restriction.

A time entry will not save #

Confirm that:

  • a project and task are selected for project time,
  • a time-off category is selected for time off,
  • hours contain a valid number,
  • the selected project, task, or time-off option is still available,
  • and the date is not locked.

MindSalt rounds valid hours to the account's configured increment.

A favorite cannot be added #

A favorite becomes unavailable if its project, task, or time-off option was removed or you no longer have access to it. Create a new favorite from an editable entry that uses a current selection.

You can have up to 50 favorites. Delete an unused favorite in Manage favorites before adding another.

Submit Timesheet is disabled or missing #

Check whether:

  • timesheet approvals are enabled,
  • the period contains open or rejected time that can be submitted,
  • there are unsubmitted hours,
  • the period is already submitted or approved,
  • account rules permit another submission,
  • and all displayed final questions are answered.

MindSalt Mobile does not include a cancel-submission action.

The screen could not load #

Pull down to refresh or tap Try again when it appears. If the problem continues, check your connection and contact support from Account.

Expense-report and receipt issues #

Use these checks when an expense will not save, a receipt upload fails, or a report cannot be submitted.

An expense report or item cannot be changed #

Check the status and lock message. Submitted, approved, and locked records are read-only. Rejected reports are normally editable unless another account rule locks them.

If someone else or an account rule changed the status while the screen was open, pull down to refresh the report.

An expense item will not save #

Review all required fields:

  • Date
  • Type
  • Description
  • Amount, Mileage, or Quantity
  • Currency when an amount is used
  • Pay Method
  • Project when required
  • Comments when required by the expense type
  • Any additional fields required by your organization

Also confirm the selected date and options are still allowed.

A receipt upload fails #

Check that:

  • the file type is offered by your device's picker for this account,
  • an image is no larger than 8 MB,
  • a non-image file is no larger than 2 MB,
  • the item still shows the action to add another receipt,
  • and your connection remains active while saving.

If an image cannot be prepared, retake it or choose a JPEG-compatible photo. A selected, replaced, or removed receipt is not finalized until Save Expense Item succeeds.

A report cannot be submitted #

The report must be open or rejected, editable, and contain at least one expense item. MindSalt also checks the requirements for each expense type when you submit. Add any missing comments or receipts, correct the item named in the message, and submit again.

MindSalt Mobile does not include a cancel-submission action.

A report copy is missing items or receipts #

Receipt files are not copied. Add required receipts to the copied items.

MindSalt checks copied items against current rules. The Copy warnings dialog lists items that were skipped because they no longer pass those rules.

Smart Scan issues #

Smart Scan displays a specific message when it cannot use a receipt photo or complete processing.

The image does not appear to be a receipt #

If MindSalt says This image doesn't appear to be a receipt, tap Take Another Photo and:

  • include the full receipt,
  • use a contrasting background,
  • avoid other documents in the frame,
  • reduce glare and shadows,
  • and make sure the receipt is large enough to read.

Tap Cancel if you do not want to retry.

The receipt details cannot be read #

If MindSalt says the expense details could not be read:

  1. Tap Take Another Photo.
  2. Hold the camera steady.
  3. Include the entire receipt, especially the date and total.
  4. On Adjust receipt, keep the useful receipt content inside the crop.
  5. Tap Use Photo.

Faded, damaged, handwritten, very long, or heavily creased receipts may need to be entered as a normal expense item.

Processing is interrupted #

Smart Scan requires an active connection. If processing is interrupted, retry with Take Another Photo after the connection is stable.

The progress bar, scan line, and changing status text stop when an error appears. Tap Take Another Photo to retry or Cancel to leave the failed scan.

The Smart Scan limit is reached #

You can have up to 10 unassigned Smart Scans. To continue:

  1. Open Unassigned expenses from the Expenses screen.
  2. Add one or more scans to an expense report, or delete scans you no longer need.
  3. Start Smart Scan again.

Camera or photo access is blocked #

MindSalt relies on your device and browser for camera or photo access.

  1. Close the camera or file picker.
  2. Open your device or browser permission settings for MindSalt.
  3. Allow camera or photo access.
  4. Return to MindSalt and start Smart Scan again.

Permission-setting names vary by device. If your organization manages the device, contact its support team when the setting cannot be changed.

The scanned values are wrong #

Smart Scan suggestions are editable:

  1. Correct the values on Review Smart Scan.
  2. Tap Save Changes, or add the scan to an expense report.
  3. If the scanned details are not useful, tap Delete and enter the expense yourself.
