Summary reports turn time and expense data into totals, charts, and a grouped breakdown. Use them when you want the big picture without reading every individual entry.

Start a Summary report #

  1. Open Reports.
  2. Select Summary.
  3. Choose the data and date range.
  4. Add the filters you need.
  5. Choose the totals, charts, and breakdown for the report.
  6. Select Apply.

Use filters #

Summary reports use filters to decide what data is included.

Common filters include Employee, Client, and Project. Use More to add other filters when needed.

Changing a filter changes all parts of the Summary report, including the totals, charts, and breakdown.

Key totals #

The top of the Summary report can show key totals for the data you selected.

Choose the totals that matter to the report you are building. Depending on the report data and your access, these can include items such as hours, billing, cost, expenses, revenue, profit, or other calculated values.

Keep this area focused. A few useful totals are usually easier to read than showing every available number.

Trend chart #

The Trend chart shows how a selected value changes over time.

For example, you can use it to see hours by week, billing by month, cost over a date range, or another report value over time.

The chart includes the full date range so periods with little or no activity are easier to spot.

Distribution chart #

The Distribution chart shows how a total is split between groups.

For example:

  • hours by Project;
  • billing by Client;
  • expenses by Expense Type;
  • time by Employee.

Use this chart when you want to quickly see which groups make up the largest part of a total.

Breakdown table #

The Breakdown table gives you the numbers behind the summary.

Choose the columns you want and group the table in the order that makes sense for the report.

You can use up to three grouping levels.

Examples include:

  • Client → Project;
  • Employee → Project;
  • Project → Task.

Depending on the report, columns can include totals, percentages, record counts, receipt counts, or other values.

Display options #

Display options change how the report is shown without changing the data included.

For example, you can show or hide currency symbols for money values.

Hiding currency symbols can be useful when the report data will be copied or exported for use in another tool.

Apply and refresh #

After changing filters or report settings, select Apply.

Once the current setup has been applied, the button changes to Refresh. Refresh pulls the latest data using the same report setup.

Save the report #

Save a Summary report when you want to come back to the same totals, charts, filters, and breakdown later.

Relative date choices are useful for reports you run on a schedule. For example, a saved report using Last month can move forward each month instead of staying tied to one fixed date range.

Print #

Use Print when you want a clean copy of the current Summary report.

The printed report includes the summary information currently shown, including the breakdown when it is expanded for printing.
