Employee types group employees by classifications such as full-time, part-time, or contractor.
The employee types screen allows you to group your employees into status groups (i.e. full-time, part-time, contractor, etc.). Many reporting functions within the system make use of the employee types by allowing you to quickly select a group of employees by their employee type. The use of employee types is not required.
Tip: New systems come pre-populated with common Employee Types.

Options and field descriptions #
Name – A name for the employee type.
Accounting ID – This optional field simplifies the exporting of data to an accounting package. When supplied, the Accounting ID acts as a code or cross-reference to related data located within an external accounting package.
Avg Hours Per Work Day – The average hours per work day is a required field that is used in various reports and is helpful in identifying incomplete days. 8 is a common value for this field.
Automatically set new employees/users to this employee type – Specifies whether or not the selected employee type will be the default employee type for new employees. Only one employee type item can be the default for data entry.
Creating or Modifying an Employee Type #
- Browse to Admin, select Employees, and then select Employee Types.
- Select New to create a new employee type or select an existing employee type from the list.
- Provide a name for the employee type.
- Specify the average hours per work day.
- Provide any additional data in the remaining optional fields.
- Select Save.
Automated Accruals – Options and field descriptions #
Note: The automated accrual options are only available on the employee type screen when the advanced administrative features are enabled on your account. Please contact us at support@mindsalt.com to enable this free feature.
How should the automatic accruals be calculated for this employee type? – Indicate whether you want to use the default accrual method that was set up for the Time Off (see How to set up tracked time) or you wish to define a unique accrual method for the selected employee type.
When a unique accrual method is to be used, the following options are then displayed: Accrue – How many hours to accrue for the specified period. Hours Every – Specify how often the automated accruals should run. The value specified here can be in weeks or months. Start Automatic Accruals On – Specify the date when the automated accruals should start. **Tip:**If you specify a date that has already passed the system will not make up for any missed automated accruals. If it is your intention to set up automated accruals for the selected employee type and wish to act as if the accruals had started a while back, you may wish to manually add a specified number of hours to each employee's balance to bring their balance "up-to-speed". Please see Employee time balances and accruals for more information on adding time to employee balances. Maximum Hours that can be Accrued – Although an optional item, this option is useful for controlling how many hours that each employee of the selected employee type can accrus for the selected tracked time.
Configuring Employee Type Specific Automated Accruals #
- Browse to Admin, select Employees, and then select Employee Types.
- Select an employee type from the list.
- Select Time Balances & Accruals from the menu on the left-hand side of your screen and select a tracked time off.
- Select Specify unique accrual settings for this employee type.
- Specify how many hours should be accrued and how often.
- Specify when the automatic accruals should begin accruing hours.
- Optional: If required by your company policy, specify the maximum number of hours that can be accrued.
- Select Save.
Tip: Using the 'Configuring Employee Type Specific Automated Accruals' above will override any default accrual policies for the selected tracked time off. To use the default accrual policy for the selected tracked time, select 'Use the default accrual settings for this time off', in step 4, and then skip to step 8. Please see How to set up tracked time for information on how the MindSalt system uses accrual policies.
Active and archived records #
MindSalt uses Active and Archived. Archived records stay in your account but do not appear in active lists. To archive a record, open its three-dot menu and select Archive. When a record can be copied, Copy is in the same menu.
