General settings control account-wide time, expense, approval, terminology, and display options.
General settings #
General Options and field descriptions #
Time Zone – Select the time zone that will be used for your system. All dates and times used throughout the system will be formatted for your selected time zone.
Currency – Select your company's home currency. You may select either the currency symbol or ISO abbreviation (i.e. The U.S. Dollar is represented as $ or USD). Throughout the system (including time and expense reports), the currency symbol appears before the amount and the ISO form of the currency appears after the amount (i.e. $63.00 or 63.00 USD respectively). The currency you select will be used to convert foreign currencies, entered in expense reports, to your selected home currency.
Date Format – Select how dates should be displayed througout the system and reports. You may select either MM/DD/YYYY (for month/day/year) or DD/MM/YYYY (for day/month/year).
Maximum # of Items in Lists – Select how many items should be displayed in lists within the administration pages.
Accounting ID Display – Select whether or not an item's accounting ID value should be included with the name of the item. For example, if John Smith had an accounting ID of "JS001" and the Accounting ID Display option was set to "Display before the item's name" John would be displayed as "JS001 John Smith" on reports and throughout the application (some screens and reports, however, may display the accounting ID and item name separately for specific purposes).
Accounting Software – If you are using an external accounting package with MindSalt, selecting the accounting package here will enable additional functionality useful for integrating with your accounting package. See Configure and export to QuickBooks Desktop for more information.
Checking Account Name – When QuickBooks has been selected as your Accounting Software, setting the name of your QuickBooks checking account will allow you to export reimbursable expense items. See Configure and export to QuickBooks Desktop for more information.
Company Logo – You may upload your company's logo for inclusion on reports and invoices. Images larger than 200 (width) x 100 (height) will be resized during the upload process. JPG and PNG formats are recommended. Maximum file size is 1MB.
Timesheet Options and field descriptions #
Hours In Timesheet Period – Enter the number of hours in a timesheet period.
Lock Date – The date provided here will lock (make the data read-only) all timesheet items that have been entered up to and including this date. For example, if you wanted to lock all timesheet data prior to 2010 you would provide a date of 12/31/2009 in this field. When this option is used while the approvals feature is enabled, timesheets that fall within the locked period can be submitted and approved but cannot be modified.
Timesheet View – The default view for the timesheet screen is a weekly view. If the timesheet period cannot be changed on this page, use the support information shown in MindSalt. Available timesheet views are: Weekly (7-day period), Bi-Weekly (14-day period, i.e. starts every other Sunday), Semi-Monthly (divides a month into halves, e.g. October 1-15 and October 16-31), or Monthly (e.g. June 1-30).
Week Start Day – The first day of the week on a 'Weekly' timesheet view.
Hour Increment / Rounding – Select how precise time entries can be. You have the choice of 1/10 hour, 1/4 hour, 1/2 hour and hourly. Actual time entries will be rounded to the closest time increment that you have specified here.
Zero Hour Entry – Select whether or not users should be able to provide 0.00 hours in the hour entry fields on their timesheet.
Time Accrual Options – You may prevent users from using more hours than they have available for a particular time off charge code by selecting the 'Prevent users from adding time off hours to a timesheet if there are insufficient hours in the tracked balance' option.
Expense Options and field descriptions #
Lock Date – The date provided here will lock (make the data read-only) all expense reports with expense report dates up to and including this date. For example, if you wanted to lock all expense reports prior to 2010 you would provide a date of 12/31/2009 in this field. When this option is used while the approvals feature is enabled, expense reports that fall within the locked period can be submitted and approved but cannot be modified.
Project Selection – Specify whether a project selection is required for expense items that are marked as billable. For a billable expense item, you may specify whether to require that a project be selected, or ignore whether or not a project is selected.
Expense Receipt Storage – This value indicates the amount of storage your account is using to store expense receipts. If more storage is needed, use the support information shown in MindSalt.
Approval Options and field descriptions #
Approvals Type – You may toggle between standard and advanced approvals by selecting the appropriate approval type link. See Configure approval workflows for more information regarding standard and advanced approvals.
Terminology Options and field descriptions #
The terminology used throughout MindSalt Time & Expense may not exactly match the terms used within your company/organization, department, or profession. The Terminology options permit changes to terminology used throughout the system and reports.
- MindSalt Time & Expense uses the term "Department" but you could change it to "Team"
- "Client" could be changed to "Business Unit", "Customer", "Buyer"
- "Project" could be "Job", "Case", "Contract"
- "Task" could be "Work Code", "Activity", "Service"
- "Time Off" could be "Benefit Time", "Other Time"
Enabled modules #
The settings tabs and features you see depend on the modules enabled for your account and your security roles. Modules can include time, expenses, approvals, and time balances and accruals. Use the support information shown in MindSalt if an expected module is missing.
Modifying Your System's General Settings #
- Browse to Admin, select System, and then select General.
- Provide information in the spaces provided.
- Select Save.
