Detailed reports show the individual time and expense rows behind your totals. Use them when you want to review the details, choose your own columns, or export data.

Start a Detailed report #

  1. Open Reports.
  2. Select Detailed.
  3. Choose the type of data you want to report on.
  4. Select the date range.
  5. Add any filters you need.
  6. Choose the columns, groups, sorting, and display options.
  7. Select Apply.

The fields available to you can depend on your account features and your report access.

Use filters #

Filters let you narrow the report before it runs.

Common filters include Employee, Client, and Project. Use More when you need another filter.

For example, you can create a report for:

  • one client and all of its projects;
  • a few selected projects;
  • one employee;
  • a specific task;
  • selected expense types;
  • a smaller date range.

If you change a filter after running the report, select Apply again.

Choose columns #

Use Columns to choose what appears in the report.

For example, a time report may include fields such as Date, Employee, Client, Project, Task, Hours, Billable Amount, Cost, and Comments.

Expense reports can include fields such as the expense date, employee, project, expense type, amount, billable amount, payment method, and other expense details.

Only choose the columns you need. A smaller set of columns is usually easier to read, especially when printing or creating a PDF.

Sort the report #

Use the report sorting controls to choose how the rows are ordered.

Sorting is useful when you want the details in a specific order, such as by date, employee, project, or another field in the report.

Sorting changes the order of the rows. It does not change which rows are included.

Group rows #

Grouping places related rows together and can make a long report much easier to read.

For example, you might group by:

  • Client, then Project;
  • Employee, then Project;
  • Project, then Task.

The order of the groups matters. Put the broadest group first and the more specific group after it.

You do not have to use groups. Leave grouping empty when you want a simple list of rows.

Display options #

Use Display to control how the report looks without changing which records are included.

Comments #

Turn comments on when you want report rows to include the notes entered with time or expenses.

Expense receipts #

When expense receipts are included, you can control how they appear in the report.

Depending on the report options, you can choose:

  • whether to show receipts;
  • the receipt preview size;
  • whether receipts appear with the related expense or in a separate receipt section;
  • page-break behavior for receipt sections when creating a printable report.

Receipt display options are meant for the browser/print/PDF view. CSV exports contain report data rather than receipt images.

Currency symbols #

Use Show currency symbols to show or hide symbols such as $, €, or £.

Leaving the symbols on is usually easier to read on screen or in a PDF.

Turning them off can be useful for CSV exports or when the file will be opened in a spreadsheet and you want plain numeric values.

Large reports #

Detailed reports can contain many rows.

The browser shows a limited preview for very large reports. PDF also has a row limit so it can create a complete, usable file.

If a report is too large for the browser preview or PDF:

  • narrow the date range or filters; or
  • export to CSV when you need the complete result.

Do not assume a browser preview is the full data set when MindSalt shows a row-limit message.

Save the report #

Save a Detailed report when you expect to use the same setup again.

A saved report can remember your filters, columns, groups, display settings, and date setup.

If an employee, project, client, task, expense type, or another selected item is no longer available later, MindSalt keeps the saved filter in place and marks that selection as {Unavailable}. This prevents the report from silently changing to a broader filter.

You can remove an unavailable selection if you no longer need it.

Use the report output choices to print the current report, create a PDF, or export the rows to CSV.

CSV is usually the best choice when you want to sort, calculate, or work with a large number of rows outside MindSalt.
