Time off items include vacation, sick leave, jury duty, and other time that is not charged to a project.
Time off are charge items that normally wouldn't be classified as a project or job. Items such as these might be vacation time, sick leave, personal time off, etc. Time off can also be configured as "tracked time" (see How to set up tracked time).
Time off, unlike projects, do not belong to a specific client or department.Instead, when an employee charges time to a time off, time is billed to the employee's department (if the time off is marked as 'billable').
Tip: New systems come pre-populated with common Time Off.
Options and field descriptions #
Name – A name for the time off (i.e. Vacation, Jury Duty, Sick Leave, etc.).
Accounting ID – This optional field simplifies the exporting of data to an accounting package. When supplied, the Accounting ID acts as a code or cross-reference to related data located within an external accounting package.
Is the time balance tracked? – This option indicates whether or not the system will track individual employee balances for the selected time off.
When 'Is the time balance tracked?' is checked, the following options are then displayed: Use Automatic Accruals for this Time Off – Indicate whether or not a default automatic accrual schedule should be set up for this time off. When 'Use Automatic Accruals for this Time Off' is checked, the following options are then displayed: Accrue – How many hours to accrue for the specified period. Hours Every – Specify how often the automated accruals should run. The value specified here can be in weeks or months. Start Automatic Accruals On – Specify the date when the automated accruals should start. Tip: If you specify a date that has already passed, the system will not make up for any missed automated accruals. To start an employee out with a balance, other than 0.00, for this time off, see Employee time balances and accruals. Maximum Hours that can be Accrued – Although an optional item, this option is useful for setting a maximum number of hours an employee can "bank" for the selected time off. Creating a New or Modify an Existing Time Off #
- Browse to Admin, select Timesheets, and then select Time Off.
- Select New to create a new time off or select an existing time off from the list.
- Provide a name for the time off.
- Provide any additional data in the remaining optional fields.
- Select Is the time balance tracked? if a balance should be tracked for each employee.
- If Is the time balance tracked? is checked, select whether or not to set up a default automatic accrual schedule by selecting Use Automatic Accruals for this Time Off. When this is selected additional options are displayed. Provide the additional details regarding how the automatic accrual schedule should be set up.
- Select Save.
Active and archived records #
MindSalt uses Active and Archived. Archived records stay in your account but do not appear in active lists. To archive a record, open its three-dot menu and select Archive. When a record can be copied, Copy is in the same menu.
