Create and submit expense reports

An expense report groups related expense items and receipts. You can keep an open report while adding items, then submit it for approval.

Open Expenses #

Browse to Expenses.

Notice: Expense tracking and personal expense access are required. Report actions depend on status, date locks, and account rules.

Find and filter reports #

Open My Expense Reports. Search and use the date and status filters to narrow the list. Standard status choices include:

  • All Expenses
  • Open Expenses
  • Submitted
  • Approved
  • Rejected

Select a report to open it. Open and rejected reports are normally editable. Submitted and approved reports are read-only in My Expense Reports.

Create an expense report #

  1. Open My Expense Reports.
  2. Select the add action or New expense report.
  3. Enter the report Date.
  4. Enter the report Name or Report name shown by your screen.
  5. Enter Comments and complete any additional fields your organization requires.
  6. Select Save or Save Expense Report.

The new report opens so you can add its first expense item.

Edit, copy, print, or delete a report #

Open the report and use Edit or its action menu.

  • Duplicate or Copy Expense Report creates a separate report. Review its date, name, copied items, and any copy warnings.
  • Print report creates printable output for the current report.
  • Approval history shows submission and decision activity.
  • Delete or Delete Expense Report permanently removes an open or rejected report, including its items and receipts.

Warning: Report deletion cannot be undone. Confirm that the report and every attached receipt can be removed.

Copy behavior can differ between desktop and mobile. On mobile, receipt files are not copied, and the selected date is applied to the copied items. Review the new report before submitting.

Submit an expense report #

Add at least one valid item before submitting.

  1. Open the completed report.
  2. Review every item, receipt, and total.
  3. Select Submit or Submit Expense Report.
  4. Review the submission summary.
  5. Confirm the submission.

MindSalt checks report status, item dates, expense type requirements, amounts, projects, comments, receipts, and account locks. Correct any reported issue and submit again.

After submission, the report becomes read-only and is sent to the approver or approval path set by your organization.

Important: MindSalt does not provide employees with a general Cancel Submission action. Ask an administrator to return a submitted report when it needs changes before review.

Correct a rejected report #

  1. Open the rejected report from Home or My Expense Reports.
  2. Review the rejection message or Approval history.
  3. Edit the report or affected items.
  4. Save the changes.
  5. Submit the report again.

Troubleshooting #

Submit is unavailable #

The report may be empty, already submitted, approved, or outside your editable access. Approvals may also be disabled.

An item blocks submission #

Open the item and follow the message. Its type may require a receipt, comment, project, or amount within a configured limit.

The report cannot be changed #

Check its status and dates. An approver or administrator must return a submitted, approved, or locked report before you can change it.
