Administrators can open and change any employee's timesheet when their access allows it.

This screen allows the ability to change any employee's timesheets. The options on this screen are nearly identical to what a typical user would see when filling out their timesheet. However, because this is an administrative screen, you have the ability to select any employee's timesheet and change or submit it on their behalf.

Note: Because this is an administrative screen, when timesheet approvals are enabled, selecting the submit button will submit and automatically approve the employee's timesheet.

Tip: By default, a blank timesheet has 6 lines available. When completing the timesheet, if you run out of lines, select Save and additional lines will become available.

Options and field descriptions #

Selecting a Timesheet – Each timesheet screen in the system has buttons (above the timesheet in the button bar) to quickly move between timesheet periods. 'Go to Date' allows you to jump to a timesheet containing the specified date. To use this feature provide a date and select the 'Go' button. There are also 'Next' and 'Prev' buttons to jump to the next and previous timesheets, respectively.

Charge Description – This column of the timesheet contains the charge (time off and project or task) for each row. Each row within the timesheet that contains recorded hours must have a valid charge associated with it. Selecting any of the fields in this column will display a window where you may select the time off or project and task. To change a charge on a timesheet select the charge description. To add a new charge (a new row) on the timesheet select a field labeled 'Click to Add a Charge'.

Hours – Enter the number of hours worked for the charge and date in the space provided.

Comment – Select the comment icon next to the hours to add or view a comment. The icon changes after a comment is saved.

Totals – Totals are provided in the last column and last row of the timesheet. The totals along the right side of the timesheet display the total hours for each charge (row). The totals along the bottom of the timesheet display the total hours for each day (column). The total in the bottom right corner of the timesheet displays the total hours for the timesheet.

Timesheet Reports – A few reports are available for viewing from the timesheet screen:

  1. Timesheet Report – Displays a printable copy of the timesheet.
  2. Timesheet History – Displays the approval history of the timesheet. This link is only available when timesheet approvals are enabled.
  3. Tracked Time Balances – Displays a list of tracked time balances for the selected employee. This link is only available when one or more time off are configured as "tracked time" (see How to set up tracked time).

Clear a Row – By selecting the trash can on the left side of each timesheet row you may quickly clear all unlocked/unsubmitted time for the row. This provides a quick method of clearing a row in the timesheet.

Adding Time to an Employee's Timesheet #

  1. Browse to Admin, select Timesheets, and then select Administer Timesheets.
  2. Select an employee from the list provided and select Continue.
  3. Select a charge description field. Select an empty charge description field (labeled as 'Click to Add a Charge') to add time or select a charge description with a charge already in it to edit.
  4. In the 'Select Charge' window, select a Time Off or Project & Task.
  5. Select OK.
  6. Enter the number of hours worked in the charge row under the appropriate date.
  7. Optional: To add a comment, select the notepad next to the blank where you entered the number of hours worked.
  8. Repeat steps 4 through #6 to add additional rows and repeat step 7 to provide the hours worked. When finished, select Save.

Note: The total hours for each day cannot exceed 24 hours. The total rows for the timesheet cannot exceed 50 rows.

Submitting an Employee's Timesheet #

Note: Timesheet approvals must be enabled to complete the following steps.

  1. Browse to Admin, select Timesheets, and then select Administer Timesheets.
  2. Select an employee from the list provided.
  3. Select Continue.
  4. Select the Submit button to submit the employee's timesheet.

Note: Because this is an administrative screen, when timesheet approvals are enabled, selecting the submit button will submit and automatically approve the employee's timesheet.

Tip: When the submit button is pressed the timesheet is automatically saved prior to submitting. If there are any errors on the timesheet you will be notified and the timesheet will not be saved nor will it be submitted. The information bar will inform you if the timesheet was successfully submitted.
