Use this screen to review or change one employee's tracked time balance and accrual settings.

The Time Balances & Accruals options are only available if you have at least one Time Off (see Time Off) that is being tracked (see How to set up tracked time). When this is true the 'Time Balances & Accruals' folder will be available and contain the list of tracked Time Off (use the fields described below). The Employee Time Balances & Accruals screen gives you the ability to modify the balance for the employee as well as view the balance history.

Automated Accruals – Options and field descriptions #

How should the automatic accruals be calculated for this employee? – Indicate whether you want to use the default accrual method that was set up for the Time Off (see How to set up tracked time) or you wish to define a unique accrual method for the selected employee.

When a unique accrual method is to be used, the following options are then displayed: Accrue – How many hours to accrue for the specified period. Hours Every – Specify how often the automated accruals should run. The value specified here can be in weeks or months. Start Automatic Accruals On – Specify the date when the automated accruals should start. **Tip:**If you specify a date that has already passed the system will not make up for any missed automated accruals. If it is your intention to set up automated accruals for the selected employee and wish to act as if the accruals had started a while back, you may wish to manually add a specified number of hours to bring the balance "up-to-speed". See below for more information on adding hours to a tracked time balance. Maximum Hours that can be Accrued – Although an optional item, this option is useful for controlling how many hours the selected employee can accrue for the selected tracked time.

Configuring Employee Specific Automated Accruals #

  1. Browse to Admin, select Employees, and then select Employees.
  2. Select an employee from the list.
  3. Select Time Balances & Accruals and select a tracked time off.
  4. Select Specify unique accrual settings for this employee.
  5. Specify how many hours should be accrued and how often.
  6. Specify when the automatic accruals should begin accruing hours.
  7. Optional: If required by your company policy, specify the maximum number of hours that can be accrued.
  8. Select Save.

Tip: Using the 'Configuring Employee Specific Automated Accruals' above will override any default accrual policies for the selected tracked time off. To use the default accrual policy for the selected tracked time, select 'Use the default accrual settings for this time off', in step 4, and then skip to step 8. Please see How to set up tracked time for information on how the MindSalt system uses accrual policies.

Accrual History & Balance – Options and field descriptions #

Action – Select whether to add or subtract hours from the employee's total for the selected tracked time.

Date – Specify the date for the addition/subtraction.

Hours – The number of hours to add to or subtract from the employee's total for the selected tracked time.

Comment – A comment Optional: can be supplied before adding/subtracting time. Providing a comment is useful for tracking why time was added or subtracted.

Adjust an Employee's Tracked Time Balance #

  1. Browse to Admin, select Employees, and then select Employees.
  2. Select an employee from the list.
  3. Select Time Balances & Accruals and select a tracked time off.
  4. Under Balance & History Information select the action type (add or subtract time).
  5. Specify the date and the number of hours to add or subtract.
  6. Optional: Specify a comment regarding the change.
  7. Select Save.
