Time-off administration defines the entry choices employees use and the policies that accrue, adjust, and limit balances.

Set up time-off entry options #
Employees need an active time-off choice before they can record vacation, sick time, or another leave category. The client, project, or task used for time off depends on your organization's setup.
- Create or confirm the time-off client, project, task, or equivalent entry structure used by the account.
- Confirm that the entry is active and available to the intended employees.
- Review required comments, dates, and other entry rules.
- Test an editable time-off entry.
Create or edit an accrual policy #
An accrual policy defines how a balance grows and which employees receive it. Review the earning schedule, maximum balance, carryover rules, and employee assignments together so the displayed balance matches the organization's policy.
- Open the time balance or accrual administration area.
- Create a policy or open an existing one.
- Enter the policy name.
- Set the accrual timing, amount, limits, and other available rules.
- Assign the policy to the employees or employee groups that should earn this time off.
- Select Save.
Example: Monthly vacation accrual #
An organization grants full-time employees eight hours of vacation each month and limits the balance to 160 hours. The administrator can create one policy with that schedule and limit, then assign it to the full-time employee group.
Add a balance adjustment #
Use a balance adjustment to enter a starting balance, correct an error, record a carryover, or make another approved change.
- Open the employee or policy balance administration screen.
- Select the time-off category.
- Enter the effective date and adjustment amount.
- Record the business reason when a comment field is available.
- Save.
- Check the employee's updated balance.
Prevent negative balances #
Use Configure time tracking settings when the account should prevent employees from recording time off beyond the available balance. Review exceptions and existing negative balances before enabling the rule.
Maintain policies safely #
- Use effective dates instead of overwriting historical meaning when the screen supports them.
- Review assigned employees before archiving a policy.
- Test accrual timing around period, month, and year boundaries.
- Retain the reason for manual adjustments.
