Add time for multiple employees

Before employees can record project time, administrators must make the correct clients, projects, tasks, assignments, employees, and dates available. Bulk Time Entry can then create the same approved time across a selected group.

Open Bulk Time Entry #

Browse to Admin Timesheets Bulk Time Entry.

Notice: Time administration access is required. Select only the employees and dates you intend to update before saving a bulk entry.

Set up project time entry #

Before adding time for one employee or a group, make sure every required record is active and available for the dates being entered. Missing projects, tasks, or assignments are common reasons an entry choice does not appear.

  1. Create or confirm the client.
  2. Create the project and set its active dates.
  3. Add the tasks employees will use through Create and manage project tasks.
  4. Make the project available to all employees or add project assignments.
  5. Confirm that each employee is active and has time-entry access.
  6. Review time tracking settings, including editable dates and entry rules.
  7. Sign in as a test employee and confirm that the client, project, and tasks appear for the expected dates.

When to use Bulk Time Entry #

Use Bulk Time Entry only when the same client, project, task or time-off choice, date, hours, and comment are correct for every selected employee. Use individual timesheet administration when employees need different values.

For example, an administrator could add the same two-hour company meeting to everyone who attended. Bulk Time Entry would not be a good fit when each employee worked a different number of hours or used a different project or task.

Create bulk time #

  1. Open Bulk Time Entry.
  2. Select the employees.
  3. Select the date or period.
  4. Choose the client, project, task, or time-off entry.
  5. Enter the hours and any required comment.
  6. Review every affected employee and date.
  7. Confirm the save.

Important: A bulk save can create many records at once. Confirm the selection before saving, then spot-check the affected timesheets.

Correct a bulk-entry mistake #

Do not repeat a bulk save to offset an incorrect entry unless your organization requires that method. Review the affected entries and make the smallest correction needed by editing, deleting, finding and replacing, or using a correction tool.
