Project assignments control which employees or departments can use a restricted project. They are separate from task assignments, which control the work choices available within a project.

Open job assignments #

Browse to Admin Jobs Jobs.

Open the job you want to update, then select Assignments.

Notice: Project administration access is required. A project that is available to everyone may not require individual assignments.

When project assignments are useful #

Open the project and review its visibility or availability setting. Use project assignments when access should be limited to selected employees or departments.

For example, a client project can be limited to the employees working on it. Other employees will not see the project when entering time or expenses. You can grant access to individual employees or an entire department.

Add an employee or department #

  1. Open the project.
  2. Open Project Assignments.
  3. Select Add Project Assignment.
  4. Choose an employee or department.
  5. If a Billing Rate field appears and this assignment needs its own billing rate, enter it.
  6. Save.

Archive or restore an assignment #

Archive an assignment to remove access without changing historical records. Restore it to give the employee or department access again.

Before archiving, confirm that the assignment is not needed for pending time, expense, approval, or reporting work.

Verify access #

  1. Confirm that the project itself is active and within its active dates.
  2. Confirm that the employee or department is active.
  3. Confirm that the assignment is active.
  4. Confirm that the required project tasks are also active.
  5. Sign in as a test employee who should have access, then confirm that the project and its tasks appear.

Troubleshooting #

  • An employee may still be unable to use the project if a required task is missing or archived.
  • A department assignment may not help an employee whose department is not set correctly.
  • A project can remain hidden when its visibility setting and assignment rule do not match.
