Create and manage project tasks

Tasks define the specific work employees select when recording project time. Manage reusable tasks in the task library, then add them to the projects where they apply.

Open Activities #

Browse to Admin Jobs Activities.

Notice: Project administration access is required. Your account may use a customized word instead of task.

Create or edit a task #

  1. Open Admin, Projects, then Tasks.
  2. Select the action to create a task, or open an existing task.
  3. Enter the task name.
  4. Complete any accounting or time-entry fields your organization uses.
  5. Select Save.

Archive a library task to prevent it from being added to more projects. Existing time entries remain linked to the task.

Add tasks to one project #

  1. Open the project.
  2. Open its Tasks area.
  3. Select one or more available tasks.
  4. Add them to the project.
  5. Open a project task to review its comment requirement, rate, budget, and active status. Your account may not use every field.
  6. Save.

Archive the task on a project to stop employees from recording more time against it. Existing time entries are not deleted.

Assign one task across projects #

Use the bulk task administration action when the same task needs to be added, removed, or updated across multiple projects.

  1. Open the task.
  2. Select Add, Remove, or Modify Assigned Projects.
  3. Filter the project list narrowly.
  4. Select the target projects.
  5. Choose the assignment change.
  6. Review the selected projects and action.
  7. Save.

Important: A bulk task change can affect time entry for many employees. Select only the projects you intend to change and review the list before saving.

Troubleshooting #

  • A task may be missing because the library task is archived.
  • A project task may be unavailable because the project-task relationship is archived.
  • An employee may not see the task because the project is inactive, outside its active dates, restricted by assignment, or unavailable to that employee.
