Projects connect time and expenses to a client or department. They can also control visibility, dates, managers, tasks, rates, budgets, and reporting classifications.
Open Jobs #
Browse to Admin Jobs Jobs.
Notice: Project access is required. The project label and some fields are configurable by account.
Create a project #
Create the project record first. Add reusable project tasks through Create and manage project tasks, and restrict employee or department access through Manage project assignments.
- Open Admin, then Projects.
- Select the new-project action.
- Enter Name.
- Select the client or department.
- Choose Visibility for all employees or specific project assignments.
- Enter optional Accounting ID, start and end Dates, and Manager.
- Select available Status, Priority, and Category values.
- Add notes and other visible time, expense, rate, or budget settings.
- Select Save.
After saving, add tasks and specific employee or department assignments when required.
Set project dates and visibility #
Project dates can define when the project is available. A date restriction can prevent entries outside that range.
- A project visible to all employees does not require individual assignments for basic visibility.
- A project using specific assignments appears only to assigned employees or departments.
Other account rules can still restrict time or expense selection.
Use the project dashboard #
Open a project and select Dashboard. Depending on your access and the project's setup, the dashboard can summarize:
- tracked time and expense,
- task activity,
- assigned employees,
- budgets and progress,
- and cost or billing values for users who have permission to view rates.
The dashboard shows only the controls and totals your account can access.
Copy, archive, restore, or delete a project #
- Select Copy to create a project using information from an existing project. Review every copied field before saving the new project.
- Select Archive to remove a project from normal current lists and entry.
- Include archived projects in the list and select Restore to reactivate one.
- Select Delete only when the project can be permanently removed and the button is available.
Warning: Projects can have time, expenses, tasks, assignments, budgets, and reports. Prefer Archive when history exists.
Troubleshooting #
- If users cannot select the project, review active dates, archive state, visibility, assignments, tasks, and account entry settings.
- If a dashboard is missing, the user may lack project dashboard access.
- If a budget option differs from this guide, use the modes available in the current project. Some modes depend on account configuration.
