Manage employee access and invitations

An employee record and a login are related but separate. Use the employee's Account & Security settings to activate sign-in, assign security roles, and send invitation or reset messages.

Open employee security #

Browse to Admin Employees Employees.

Open the employee, then select Security.

Notice: Employee security administration access is required. Give each person only the roles and account access needed for their work.

Review an employee's account access #

  1. Open Admin, Employees.
  2. Open the employee.
  3. Open Account & Security.
  4. Review the username or email used for sign-in.
  5. Review the active login setting.
  6. Review assigned security roles.
  7. Save changes.

The employee's profile, employment status, and archived state can also affect access.

Send or resend an invitation #

  1. Confirm that the employee's email address is correct.
  2. Confirm that the login is active and the required roles are assigned.
  3. Select the invitation action.
  4. Review the destination address.
  5. Send the invitation.

Use the resend action when the original invitation expired or was not received. Ask the employee to check spam or junk folders before sending repeated messages.

Send a password reset #

Use the employee reset action when a local MindSalt password needs to be established or changed.

Notice: A password reset may not apply when the organization enforces single sign-on. Use the identity provider's recovery process instead.

Offboard an employee #

  1. Review pending time, expenses, approvals, project assignments, and reports.
  2. Remove or adjust approval and manager responsibilities.
  3. Disable the login or archive the employee according to policy.
  4. Preserve historical records needed for reporting.
  5. Test that the former employee can no longer sign in.

Do not delete an employee with business history merely to remove access.
