Create and manage employees

An employee record connects a person to time, expenses, approvals, projects, departments, and security access.

Open Employees #

Browse to Admin Employees Employees.

Notice: Employee administration access is required. Creating an employee can also create or invite a user account.

Create an employee #

Select New Employee to enter the employee's basic information first. You can complete the rest of the profile after the employee record is created.

  1. Open Admin, then Employees.
  2. Select the new-employee action.
  3. Enter First Name and Last Name.
  4. Enter Email.
  5. Select the employee's department.
  6. Enter Username if the account does not use email addresses as usernames.
  7. Select one or more Security Roles.
  8. Leave Email the new user an invite selected when the employee should receive an invitation now.
  9. Select Save.

After creation, open the employee profile to complete remaining information.

Complete the employee profile #

Review the employee's information, including:

  • name, email, department, and Accounting ID,
  • Manager,
  • Employee Status and Employee Type,
  • timesheet and expense approval paths when Advanced approvals are used,
  • Date Hired,
  • payroll type if your organization uses it,
  • and notes.

Select Save after making changes.

Find and filter employees #

Use search and available department, manager, role, or active-status filters on the employee list. Include archived employees when reviewing history or restoring a record.

Archive, restore, or delete an employee #

  • Select Archive when the person should no longer appear in normal active lists or use the account.
  • Include archived employees, open the record, and select Restore to return it.
  • Use Delete only when the employee record can be permanently removed and the button is available.

Warning: Employee records can be related to time, expenses, approvals, projects, rates, and reports. Prefer Archive for anyone with history. Confirm login access separately when offboarding.

What happens next #

An invited employee follows the invitation to set up access. Their security roles control menus and reports. Project visibility, manager assignment, module access, and approval configuration still determine what records and actions they can use.
