Use this guide to find, filter, create, change, copy, delete, and submit expense reports in MindSalt Mobile.
Open Expense #
Browse to MindSalt Mobile Expense. Tap Expense at the bottom of the screen.
View and filter expense reports #
The Expenses section lists your expense reports with each report's date, name, item count, and total amount. When expense approvals are enabled, the list also shows report status.
Notice: Expense appears only when expense tracking is enabled and you have expense-entry permission.
View your reports #
- Tap Expense.
- Scroll through the report list.
- Tap a report to open it.
The report detail shows the report date, name, comments, total amount, reimbursable amount, expense items, and approval status when expense approvals are enabled.
Pull down at the top of the list to refresh it. The list loads reports in groups. Continue scrolling until All reports loaded appears.
Filter reports #
- Tap the filter button in the upper-right corner.
- If status filtering is available, choose All, Open, Submitted, Approved, or Rejected.
- Tap Start date or End date to limit reports by date.
- Tap Apply.
The filter button displays a count when filters are active.
Notice: Status choices appear only when expense approvals are enabled. Date filters are available to expense users regardless of approval availability.
The Open filter includes reports available for normal work or correction, including rejected reports. Use Rejected when you want to narrow the list to rejected reports only.
The start date cannot be after the end date. Tap Clear filters to return to all reports.
Understand report status #
- Open reports can normally be changed.
- Rejected reports can normally be corrected and submitted again.
- Submitted reports are waiting for approval and are read-only.
- Approved reports have completed approval and are read-only.
A report can also be locked by account rules. When it is locked, MindSalt displays the reason and hides actions that are not allowed.
Open unassigned expenses #
When you have unassigned expenses, a tray button and count appear in the upper-right corner. Tap it to open Unassigned expenses.
Create, edit, copy, or delete an expense report #
Use an expense report to group related expense items before submitting them for approval.
Notice: Report actions depend on the report's status, date locks, and account rules. MindSalt shows only actions currently allowed.
Create an expense report #
- Tap Expense.
- Tap +.
- If the Add expense menu opens, tap New expense report.
- On New Expense Report, select the date.
- Enter the required Report name.
- Add Comments if needed.
- Tap Save Expense Report.
MindSalt creates the report and opens its detail screen. Tap + there to add the first expense item.
Edit report details #
- Open the report.
- Tap the report-actions menu in the upper-right corner.
- Tap Edit Expense Report.
- Change the date, report name, or comments.
- Tap Save Expense Report.
Some existing reports may show an Accounting ID when one has already been assigned. It can be edited with the other report details.
Copy a report #
- Open the report.
- Tap the report-actions menu.
- Tap Copy Expense Report.
- Select the date for the new report.
- Review or change the proposed report name.
- Tap Copy Expense Report.
The selected date is used for every copied expense item. Report comments and Accounting ID are not copied. Receipt files are not copied, so add any required receipts to the new items.
MindSalt checks each copied item against current expense rules. If an item is no longer valid, it is skipped and a Copy warnings message explains which items were not copied.
Delete a report #
- Open the report you want to copy.
- Tap the report-actions menu.
- Tap Delete Expense Report.
- Review the warning.
- Tap Delete.
Warning: Deleting an expense report permanently removes its expense items and receipts. This cannot be undone.
You can delete a report only while it is open or rejected and still editable.
Leave without saving #
If you change a report form and then close it, MindSalt asks whether to discard the changes. Keep editing or save if you want to preserve them.
Submit an expense report on mobile #
Submit a completed open or rejected expense report so it can move through your organization's approval process.
Notice: Submit Expense Report appears only when expense approvals are enabled and the report is open or rejected and can still be submitted.
Before you begin #
Confirm that:
- the report contains at least one expense item,
- all required comments are present,
- every expense type that requires a receipt has one,
- expense dates and report dates meet account rules,
- and each item's project, pay method, amount, and other required fields are complete.
Submit the report #
- Tap Expense.
- Open the report.
- Review the total, reimbursable amount, and items.
- Tap the report-actions menu.
- Tap Submit Expense Report.
- At Submit expense report, confirm Submit this expense report for approval?
What happens next #
MindSalt displays Expense report submitted. The report status becomes Submitted and the report and its items become read-only while awaiting approval.
If an approver rejects the report, its status becomes Rejected. You can normally correct it and submit it again, subject to date locks and other account rules.
Important: MindSalt Mobile does not provide a cancel-submission action. Review the report before submitting it.
If submission fails validation, MindSalt keeps the report open and displays the specific problem. Correct the identified item or report and submit again.
