Receipt Export creates a downloadable package of receipt files that match your filters. Use it for accounting, audits, or record retention when you have permission to view the receipts.

Open Export Expense Receipts #

Browse to Admin Expenses Export Expense Receipts.

Notice: Expense administration and receipt export access are required. Exports can contain confidential transaction and payment information.

Select the receipts to export #

  1. Open the expense administration area.
  2. Select Receipt Export.
  3. Enter a focused date range.
  4. Use the employee, report, or other filters to limit the export to the receipts you need.
  5. Check the filters before starting the export.

Focused filters make the export easier to review and reduce the chance of including receipts you do not need.

For example, an auditor reviewing one month's expenses should receive only the receipts from that month, not the organization's complete receipt archive.

Create and download the export #

  1. Start the export.
  2. Follow the status shown while MindSalt prepares the files.
  3. Download the package when it is ready.
  4. Save it in an approved protected location.
  5. Confirm that the package contains the expected receipts before sharing or archiving it.

MindSalt can limit the number of files in one request. Narrow the filters and create more than one export when the current request is too large.

Protect and dispose of exported files #

Follow the organization's policy for storage, access, sharing, retention, and disposal. Do not place receipt packages in an unrestricted shared folder or attach them to an unprotected message.

Warning: A downloaded export exists outside MindSalt's normal access controls. Anyone who receives the file may be able to view its receipts.

Troubleshooting #

  • If the export is empty, confirm the date range and that matching items have receipt files.
  • If the request is too large, use a shorter date range or a narrower employee or report filter.
  • If the menu is missing, confirm receipt export permission and feature availability.
