Timesheet settings control the timesheet period, entry format, restrictions, and submission behavior.
Understand the time administration areas #
In this section you will find instructions on how to create and manage time off as well as how to manage employee time entries. These instructions will also walk you through generating incomplete time entry reports and notifications as well as how to modify cost and billing information on a per charge basis.
- Time Off – Time off are charge items that normally wouldn't be classified as a project or job. Items such as these might be vacation time, sick leave, personal time off, etc. Time off can also be configured as "tracked time." - Bulk Time Entry – The bulk time entry feature makes it easy to quickly add or delete time for groups of employees at one time, without having to edit each timesheet individually. For more information, see Add time for multiple employees.
- Administer Timesheets – This screen allows the ability to change any employee's timesheets. For more information, see Manage employee timesheets.
- Administer Timesheet Approvals – This screen allows you to view timesheets pending approval as well as timesheets that have been approved. From this screen timesheets can be approved, rejected, or even unsubmitted and sent back to the employee to make adjustments. For more information, see Review timesheet approvals.
- Timesheet Cost & Billing Corrections – This screen is used to correct or modify cost and billing rates for timesheet entries already entered. For more information, see Understand rates and correct recorded costs.
- Incomplete Time Entry Notifications – It is not uncommon for employees to forget to enter all of their time for the previous day. The Incomplete Time Entry Notifications feature allows the ability to generate a list of employees who do not meet the minimum number of hours for a selected day. You may then easily send a reminder email directly from this screen. For more information, see Send incomplete time reminders.
Configure timesheet settings #
Browse to Admin, select System, and then open the Timesheet settings.
Review the settings for:
- the dates when employees may enter or change time;
- the expected hours in a timesheet period;
- the timesheet period, such as weekly, bi-weekly, semi-monthly, or monthly;
- hour increments and rounding;
- zero-hour entries; and
- whether employees can enter more time off than their available balance.
Select Save after reviewing the complete page. Before moving a date lock forward, review open time, submitted timesheets, approvals, corrections, payroll, and exports that use those dates.
Choose what happens after submission #
Choose the setting that matches your approval process:
- Lock only the hours that have been submitted lets an employee add more hours to the same period and submit those hours later.
- Lock the entire timesheet period prevents the employee from adding more hours to that period after submitting it.
Tell employees and managers how submitted time will be locked before changing this setting.
