Scan and review receipts with Smart Scan

Smart Scan turns a receipt photo into an editable expense draft. It can suggest the normal date, type, description, amount, currency, project, payment, billable, and reimbursable values available on the expense form.

Open Smart Scan #

Browse to Expenses.

Open or create an expense report, add an expense item, and then select Smart Scan.

Notice: Smart Scan appears only when it is enabled for your account. You can have up to 10 unassigned Smart Scans at one time. A separate monthly account allowance also applies.

Start Smart Scan #

From the main mobile Expenses screen:

  1. Tap Expense.
  2. Tap the plus button.
  3. Tap Smart scan.
  4. Allow camera or photo access if requested.
  5. Take a clear photo or choose a receipt image.

This creates an unassigned scan that can be added to a report after review.

From inside an editable report, tap the plus button, then tap Smart Scan. The reviewed item can be added directly to that report.

Adjust the receipt photo #

  1. On Adjust receipt, move the crop around the complete receipt.
  2. Resize it so important details remain inside.
  3. Tap Rotate if needed.
  4. Tap Use Photo.

Use Retake / Choose Different Photo for a blurry, cut-off, or incorrect image. Smart Scan accepts receipt images, not PDF receipts.

Tip: Use a contrasting background, avoid glare and shadows, and include all edges, the date, and the total.

Wait for processing #

The processing card shows the cropped receipt and immediately displays Fetching the receipt details…. Later status messages change about every five seconds. Keep MindSalt open until review or an error appears.

Review and correct the scan #

On Review Smart Scan:

  1. Review every suggested value.
  2. Correct missing or inaccurate fields.
  3. Confirm type, description, amount, currency, pay method, project, Billable, and Reimbursable.
  4. Complete any required comment or other visible field.
  5. Tap Save Changes if you edited an unassigned scan, or Close when nothing changed.

The receipt preview is for review. If the wrong receipt was used, delete the draft and scan again.

Add the scan to an expense report #

For an unassigned scan:

  1. Tap Add to an Expense Report.
  2. Tap Existing Expense Report or New Expense Report.
  3. Choose an existing report or create a new one.

You can assign a scan only to an open or rejected report that is still editable. MindSalt saves your reviewed values, adds the receipt to the expense item, and removes the scan from Unassigned expenses.

If you cancel creation of a new report, the draft remains intact.

When Smart Scan began inside a report, tap Add to Expense Report after review.

Find or delete unassigned scans #

Open Unassigned expenses from the mobile Expenses screen. The badge shows how many scanned expenses are waiting for review.

Select a draft to review, edit, add to a report, or delete. To delete from review:

  1. Tap Delete.
  2. Confirm Delete this unassigned expense?

Warning: Deleting removes the unassigned expense and its receipt.

If Smart Scan cannot read the image #

If the image does not appear to be a receipt or details cannot be read, processing stops and the error remains visible. Tap Take Another Photo to retry or Cancel to stop.

Enter the expense manually if the receipt is faded, handwritten, damaged, unusually long, or otherwise difficult to scan.

If the unassigned limit is reached, add existing scans to reports or delete them. If the monthly allowance is reached, wait for the allowance shown by MindSalt to renew or contact your administrator.
